Program Overview

Most project managers have the same problem: admin work eats the week. Charters, status reports, risk registers, retrospectives, the work that should take minutes takes a Friday afternoon. And most people use AI like a chatbot: one question, one answer, tab closed. The top 10% use it like a co-pilot. By 2030, an estimated 80% of project-management tasks will be run by AI (HBR, cited by PMI)—this workshop gets you ahead of that curve.

This three-hour, highly interactive session teaches AI-assisted project management through hands-on exercises rather than slides. Everything runs against one realistic project, so you spend your energy on the work, not the setup. You'll draft the initiation artifacts, forecast a launch with probability instead of a hopeful date, run the full agile delivery loop, and watch an AI agent assemble a board-ready dashboard from eight project files. What sets it apart: you learn which AI tool fits which job, and you practice telling a useful AI suggestion from one to ignore. This is about using AI to run your projects, not building AI systems.

* You will be eligible for 3 PMI PDUs (Ways of Working · Power Skills) after completing this workshop.

Where AI fits in

AI isn't just an add-on topic at the end. It shows up wherever it genuinely saves a project manager time:

The tools you'll use and when.

You learn which tool fits which job — all without writing code.

Throughout, the principle stays the same: AI gives the draft; your judgment does the pruning. You'll practice spotting where AI is reliable and where it confidently gets things wrong.

Learning Outcomes

Course Topics

The five-tool landscape, a quadrant that tells you which AI to reach for, and the prompt anatomy that lifts every output. A two-minute primer separates machine learning, generative AI, and agentic AI without jargon.

Draft a project charter, map the ten stakeholders by power and interest, and surface the risks that could kill the project, then merge one hard email across three AIs and keep the best of each.

Write INVEST user stories, split the big ones, clean a messy backlog, and run a retro that names the 'unsaid thing.' A live Jira + Rovo demo drafts acceptance criteria with you in control.

Build a three-point (PERT) estimate and run a Monte Carlo simulation over real velocity so you can state launch confidence as a probability a sponsor will trust, not a hopeful date.

A confident one-page RAG status report from messy inputs, a steel-manned scope-change request that makes the trade-off undeniable, and the judgment to prune what AI gets wrong.

Hand multiple project files to an AI agent and watch it build a live project-health dashboard,  then, from the same files, a three-page board briefing. The step beyond prompting.

The traps every PM must know, a five-question governance card, when not to reach for AI, and a Monday-morning commitment you walk out with.

How Vibe Project Management with AI Workshop will run

A working session, not a webinar. The whole group is active throughout.

  • Live and online (or in person), in small breakout teams.

  • One realistic project threaded through every exercise; no client data required.

  • Real tools you'll use at work: Claude, ChatGPT, Gemini, Claude's Cowork mode, and Jira.

  • AI prompts you run yourself against the project's backlog, risks and metrics.

  • Seven hands-on exercises and one live agentic demo in three hours.

  • Roughly 70% hands-on, 30% facilitated discussion and reflection.

What you'll leave with

  • The 32-prompt Vibe PM Toolkit (PDF), grouped by project lifecycle—yours to reuse from Monday.

  • A write-in participant workbook.

  • The slide deck

  • Certificate of completion, eligible for 3 PMI PDUs (Ways of Working · Power Skills).

What makes this workshop different

  • The right AI tool for each job — Claude, ChatGPT, Gemini and an agent, each mapped to where it actually helps — taught tool-agnostic.
  • One real project, end to end — Concrete numbers, named stakeholders, a live data pack — not toy examples.
  • Beyond prompting — A live agentic demo — folder in, dashboard and board PDF out — that most courses only describe.
  • Forecasting with odds — Monte Carlo and predictability metrics, rarely taught elsewhere, that build real sponsor trust.
  • Yours to keep — A 32-prompt toolkit, the data pack, a workbook and a PDU-eligible certificate.
