Learn Kanban by building a real system and running a live flow simulation, then put AI to work on the parts that slow teams down: breaking work into the right size, setting WIP limits, reading flow metrics, and writing the updates nobody enjoys writing. You leave knowing both how Kanban works and how to run it faster with AI, with clear judgment about where to trust it and where not to.

Program Overview

Most teams have the same three problems: too much work in progress, priorities that keep shifting, and delivery dates that are really just guesses. Kanban is a simple, proven way to make work visible, manage how it flows, and improve delivery without a disruptive reorganization.

This three-hour, highly interactive session teaches Kanban through hands-on exercises and simulations rather than slides. You'll build a Kanban system, run a flow simulation, experiment with WIP limits, and analyze real flow metrics. What sets it apart: an AI assistant works alongside you at every step, so you finish able to apply both Kanban and AI in your team straight away and to tell the difference between a useful AI suggestion and one to ignore.

Where does AI fit in?

AI isn't an add-on topic at the end. It shows up wherever it genuinely saves a Kanban team time:

The tools you'll use and when. ChatGPT, Gemini, or Claude for drafting and analysis; Gemini for metrics living in Google Sheets; and Claude's Cowork mode to read and update a real Jira or Trello board and build a flow dashboard from it. You learn which tool fits which job, all without writing code.

Throughout, the principle stays the same: AI drafts, you decide. You'll practice spotting where AI is reliable and where it confidently gets things wrong.

Learning Outcomes

What Makes This Workshop Different

  • The right AI tool for each job—ChatGPT and Gemini for everyday drafting and analysis, and Claude with its Cowork mode to work directly with your live Jira or Trello board and its metrics. You use the tool that fits the task, not one tool for everything, and no coding, ever.
  • Built, not lectured—Roughly 70% of the session is hands-on: a flow simulation, a board you build in a real tool, and AI prompts you run yourself.
  • Responsible AI, not hype—A clear rule runs through the workshop: AI drafts, humans decide. You learn the guardrails as well as the shortcuts.

Who Should Attend?

Course Topics

Where Kanban came from, the problems it solves, and how it differs from Scrum. ChatGPT or Gemini helps cluster your team's real pain points into flow vs. planning problems.

Make invisible knowledge work visible by mapping it onto a board. A chat assistant suggests workflow stages and work item types to get you started fast.

A hands-on simulation where you feel the difference between a push free-for-all and a pull system with WIP limits. AI narrates your flow data and predicts what changes next.

Build a real board in Jira or Trello, set WIP limits, and write explicit policies. Claude or ChatGPT drafts policies and starting WIP limits, and with Claude's Cowork mode, you can work directly against your live board.

Read cumulative flow diagrams and cycle-time scatterplots to spot bottlenecks and forecast honestly. Gemini reads a metrics sheet and turns throughput into a plain-language confidence range you can share.

The full toolkit in one picture: ChatGPT, Gemini, Claude, and Claude's Cowork mode, each mapped to where it helps, plus the guardrails that keep it safe and the cadences that drive ongoing improvement.

Key Benefits of the Workshop

This workshop goes beyond theory and helps participants experience the Kanban method in action. By participating in hands-on exercises and simulations, attendees gain practical insights that can be applied immediately in their teams. Participants will benefit from:

  • Better Visibility of Work
Learn how to visualize workflow so that teams clearly understand what work is being done, what is blocked, and where delays occur.
  • Improved Flow and Faster Delivery
Understand how limiting work-in-progress and managing workflow can significantly improve delivery speed and predictability.
  • Reduced Multitasking and Bottlenecks
Discover how Kanban helps teams focus on finishing work instead of constantly starting new tasks, reducing delays and work overload.
  • Data-Driven Decision Making
Learn how to use flow metrics such as cycle time and throughput to identify improvement opportunities and make better delivery decisions.
  • Continuous Improvement Culture
Understand how Kanban enables teams to evolve their processes gradually through experimentation and feedback loops.
  • Immediate Practical Application
Participants leave the workshop with techniques and practices they can apply immediately to improve workflow management in their teams.

Workshop Format (Hands-On Learning Experience)

This workshop is designed as a highly interactive learning experience where participants learn Kanban concepts by actively applying them. The session includes:

  • Interactive Simulations
Participants take part in simulations that demonstrate how work flows through a system and how WIP limits impact productivity and delivery speed.
  • Workflow Mapping Exercise
Teams visualize a real workflow on a Kanban board to understand how work moves through different stages of delivery.
  • Flow Improvement Experiment
Participants experiment with WIP limits and observe how small changes improve flow efficiency and reduce bottlenecks.
  • Metrics and Insights Activity
Participants analyze simple flow metrics to understand how Kanban teams monitor and improve performance.
  • Group Discussions and Reflection
Participants reflect on their learning and discuss how Kanban practices can be applied in their own work environment

The focus of the workshop is learning by doing, ensuring participants gain practical experience with Kanban rather than only theoretical knowledge.
